1. Agreement to Terms

By accessing and using TravelBase's services, you agree to be bound by these Terms and Conditions. If you disagree with any part of these terms, you may not access or use our services.

2. Booking and Payments

2.1 Booking Process

All bookings are subject to availability and confirmation. A booking is not confirmed until you receive a written confirmation from TravelBase. We reserve the right to refuse any booking at our discretion.

2.2 Payment Terms

  • A non-refundable deposit is required to secure your booking
  • Full payment must be received no later than 60 days before departure
  • For bookings made within 60 days of departure, full payment is required at the time of booking
  • All prices are subject to change until full payment is received

3. Cancellation and Refund Policy

3.1 Cancellation by Client

Cancellation charges apply as follows:

  • More than 60 days before departure: Loss of deposit
  • 59-30 days before departure: 50% of total booking cost
  • 29-15 days before departure: 75% of total booking cost
  • 14 days or less before departure: 100% of total booking cost

3.2 Cancellation by TravelBase

We reserve the right to cancel any trip for any reason, including insufficient participants or force majeure events. In such cases, you will receive a full refund of the amount paid to us.

4. Travel Documentation

4.1 Passports and Visas

You are responsible for ensuring that:

  • Your passport is valid for at least six months beyond your travel dates
  • You obtain all necessary visas and permits
  • You comply with health requirements for your destination
  • You have all required documentation for entry to your destination

5. Travel Insurance

Comprehensive travel insurance is mandatory for all travelers booking through TravelBase. Your insurance should cover:

  • Trip cancellation and interruption
  • Medical expenses and evacuation
  • Lost or delayed baggage
  • Personal liability
  • Travel delays

6. Liability and Responsibilities

6.1 Our Responsibilities

TravelBase will:

  • Provide the services as described in your booking confirmation
  • Exercise reasonable care in selecting service providers
  • Provide assistance in case of difficulties during your trip
  • Maintain appropriate insurance coverage for our operations

6.2 Limitation of Liability

TravelBase is not liable for:

  • Acts or omissions of third-party service providers
  • Force majeure events affecting travel arrangements
  • Personal injury or property damage not directly caused by our negligence
  • Changes to itineraries due to circumstances beyond our control

7. Changes to Bookings

7.1 Changes by Client

Any changes requested by you after confirmation may incur additional charges. Changes are subject to availability and may not always be possible.

7.2 Changes by TravelBase

We reserve the right to make changes to your itinerary where necessary. Significant changes will be communicated to you as soon as possible.

8. Special Requirements

You must inform us at the time of booking of any special requirements, including:

  • Dietary restrictions
  • Medical conditions
  • Mobility limitations
  • Special assistance needs

9. Complaints and Dispute Resolution

9.1 During Your Trip

If you have any complaints during your trip, you must inform our representative immediately to allow us to resolve the issue promptly.

9.2 After Your Trip

Any complaints must be submitted in writing within 28 days of the end of your trip.

10. General Provisions

10.1 Governing Law

These terms are governed by and construed in accordance with the laws of England and Wales.

10.2 Severability

If any provision of these terms is found to be unenforceable, the remaining provisions will continue in full force and effect.

11. Updates to Terms

We reserve the right to update these terms at any time. Continued use of our services after changes constitutes acceptance of the updated terms.
